Terms of Service
Last updated: July 26, 2026
1. Agreement
By using bulknotes.com or placing a batch order, you agree to these Terms of Service. This service is operated by Mailed Words LLC ("Bulk Notes," "we," "us"). If you do not agree, do not use our service.
2. The Service
Bulk Notes writes and mails a batch of letters or greeting cards on your behalf using a pen plotter and real ink on paper. You provide a recipient list and a note for each recipient; we produce and mail one to each address you specify. Batches start at 10 recipients and are capped at 50 per order. This is a one-time charge per batch. We do not offer or bill a subscription, and there is no recurring charge of any kind.
3. Acceptable Use
You agree that you will not use our service to send content that is:
- Threatening, harassing, or abusive toward any recipient or third party.
- Defamatory, obscene, or sexually explicit.
- Fraudulent, deceptive, or impersonating another person or business.
- In violation of any applicable law or postal regulation.
- Spam or unsolicited commercial advertising unrelated to an existing relationship with the recipient.
Every message in a batch is screened before it is written. We reserve the right to refuse or cancel any batch, or any individual recipient within a batch, that violates these terms, at our sole discretion, and to report illegal content to appropriate authorities.
Every order is screened automatically before payment is taken. Screening looks at the email address on the order, the recipient's address, and the text of the message itself. An order that does not pass is stopped at checkout, and no charge is made.
We do not publish what the screening looks for, and we will not identify which part of a refused order caused it. Naming the detail to change is the same as helping someone change it, and the people this exists for already vary their details between attempts. Screening is not perfect. If you were sending an ordinary letter and it was refused, write to us at help@mailedwords.com and we will review it ourselves.
Where an order appears to be part of an attempt to defraud the person receiving it, we may report it to the Internet Crime Complaint Center at ic3.gov, to our payment providers, and to any other appropriate authority. A report may include the message text, the sender and recipient details, the payment record, and the technical records of the order. We may make a report without notifying the person who placed the order.
4. Payment
The price per piece and any add-ons are shown on the order form and charged as a single payment for the whole batch, in USD, via Stripe. All sales are final once a batch has entered production. Payment is processed by Stripe and subject to their terms of service.
Placing an order authorizes your card but does not charge it. Your bank may show a pending hold for the order amount. We review every order before it is written, and your card is charged when we accept it, at which point Stripe sends you a receipt. If we do not accept the order, the authorization is released and you are not charged. An authorization we have not acted on expires on its own, typically after about seven days; if that happens, nothing is charged and the order is not written.
5. Refunds & Cancellations
All sales are final. Because each batch is custom-written and mailed to order, we do not offer refunds or cancellations once payment is confirmed.
You are solely responsible for the accuracy of every recipient's name and mailing address in your batch. We mail to exactly the addresses you enter at checkout, and a batch mailed to those addresses is fulfilled as ordered. We do not offer refunds, replacements, or re-sends for pieces sent to an incorrect or incomplete address that you provided.
If we made an error on our end, such as mailing to an address different from the one you entered or writing the wrong message content for a recipient, email us at help@mailedwords.com and we will re-send that piece at no additional charge.
If a piece mailed to a correct address never arrives, we do not issue refunds. First-class mail carries no tracking, so non-delivery cannot be verified by us, by you, or by USPS. Our sole remedy in that case is to re-write and re-mail that recipient's piece once, at no additional charge, at our discretion. Requesting a re-send is not a refund request and does not entitle you to one.
6. Delivery
We mail via USPS First-Class Mail. Because each piece in a batch is produced individually, a batch typically ships within a few business days of payment, and mail originates in Denver, Colorado. We advise planning on 8–10 business days from payment for a piece to arrive. That figure is our own guidance, not a guarantee and not a USPS service standard; the USPS standard for first-class mail is 1–5 business days, and USPS's published performance data shows roughly one in five pieces is delivered later than its estimate. Not every recipient in a batch will receive their piece on the same day. Late delivery is a normal outcome of using the mail and is not a defect in our service. Once a piece is handed to USPS, we have no control over it and are not responsible for delays, loss, or damage in transit. First-class mail does not include tracking or delivery confirmation. By default, envelopes are plain with no return address, so undeliverable mail cannot be returned to us or to you. If you choose to include a return address on every envelope, USPS may return undeliverable mail to that address, but we cannot track or guarantee this. Please verify every recipient's address carefully before ordering. We cannot recover, refund, or re-send a piece mailed to an address that was entered incorrectly. Where a re-send is offered under section 5, it is a re-send only; we do not refund undelivered mail.
We do not provide tracking, and we cannot add it to an order for an additional fee or on request. First-class mail carries no tracking number and no delivery confirmation. That is a property of the postage itself, not a service level we have chosen to withhold. Nobody can confirm whether a specific first-class letter reached its destination: not us, not you, and not USPS. If tracking or proof of delivery is a requirement for what you are sending, this is not the right service for it.
7. Your Content
You retain ownership of the message content you provide for each recipient. By submitting content, you grant us a limited license to reproduce it solely for the purpose of producing and mailing that recipient's piece. We will not use your message content for any other purpose.
8. Disclaimer of Warranties
Our service is provided "as is." We make no warranties, express or implied, regarding delivery times, postal service performance, or any outcome beyond our reasonable control. We do not guarantee that mailed pieces will be received or read.
9. Limitation of Liability
To the maximum extent permitted by law, Mailed Words LLC's total liability for any claim arising from use of this service is limited to the amount you paid for the specific batch in question. We are not liable for any indirect, incidental, or consequential damages.
10. Governing Law
These terms are governed by the laws of the State of Colorado, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Colorado.
11. Changes to These Terms
We may update these terms at any time. The "Last updated" date reflects the most recent revision. Continued use of the service after changes constitutes acceptance.
